1. Booking Procedure:

Upon your enquiry, a quote will be submitted to you in writing for the safari you have requested.

Upon acceptance of this quote, a provisional reservation will be made.

A PROVISIONAL booking will be held for a period of 14 days from the date it is made.

Thereafter, a 25% non-refundable deposit must be paid in order to confirm the reservation(50% when travel date is within 6 months of booking).

The balance of payment must be received by Khaki and Dust Safaris 90 days prior to the initial travel date.

Upon receipt of the balance of payment, you will receive confirmation of your payment received.
2. Cancellation of mobile safaris: Cancellations are only effective on receipt of written notification. The deposit secures and confirms your booking. If a cancellation occurs after payment of deposit, the deposit will be forfeited. If the cancellation is made after the due date for full payment and the full payment has been made, there will be no refund forthcoming.
Should a guest fail to join a safari or join it after departure or leave it prior to its completion, no refund can be made.
Cancellation of Lodge safaris: Refunds will be given according to the cancellation policies of the lodges booked. These vary and evidence of the respective lodge cancellation procedures will be given.
3. Baggage: For safety and because space is restricted, baggage in charter aircraft (applies if you are including a light aircraft transfer on your itinerary) is restricted to a maximum of 20kg per person in a soft bag. This includes camera equipment and carry-on baggage.
Should guests arrive with excess baggage without prior warning their baggage could be delayed as it may have to be flown into camps at a later stage at considerable extra cost to the guest.
However, should the guest know in advance that the baggage will exceed the limit, an extra seat can be booked for the bags on the aircraft, at an additional cost.
For mobile safaris, you are expected to travel with a soft bag that weighs no more than 20 kg. Hard suitcases are not allowed as packing space on a mobile safari is very restricted. If your mobile safari includes a boating section, you will be asked to “pack down” for this section of your safari as tighter weight and baggage restrictions will apply.If you book a private mobile safari, this weight limit can be increased with permission.
4. Insurance: It is a condition of booking, that the sole responsibility lies with the guests to ensure that they carry the correct comprehensive travel and medical insurance to cover themselves, as well as any dependants / travelling companions for the duration of their trip to Southern Africa. This insurance should include cover in respect of, but not limited to, the following eventualities: cancellation or curtailment of the safari, emergency evacuation expenses, medical expenses, repatriation expenses, damage/theft/loss of personal baggage, money and goods. The Company, including their representatives, employees and agents will take no responsibility for any costs, losses incurred or suffered by the guest, or guest’s dependents or travelling companions, with regards to, but not limited to, any of the above-mentioned eventualities. Guests will be charged directly by the relevant service providers for any emergency services they may require and may find themselves in a position unable to access such services should they not be carrying the relevant insurance cover.
Please note that you need medical insurance that will cover you to be airlifted out of a remote location back to Maun and then on to a hospital in South Africa (should your condition be serious).
5. Responsibility: Neither Khaki and Dust Safaris nor any person or agent acting for, through or on behalf of the company shall be liable for any loss or damage whatsoever arising from any cause whatsoever and, without restricting the generality of the foregoing, shall specifically not be responsible for loss or damage arising from any errors or omissions contained in its brochure or other literature, loss or damage caused by delays, sickness, theft, injury or death.
In addition, the Company shall have the right at any time at its discretion to cancel any safari or the remainder thereof or make any alteration in route, accommodation, price or other details. In the event of any safari being rendered impossible, illegal or inadvisable by weather, strike, war, government or interference or any other cause whatsoever, the extra expenses incurred as a result thereof shall be the responsibility of the passenger.
Khaki and Dust Safaris may at its discretion and without liability or cost to itself at any time cancel or terminate the guest’s booking in the event of the illness or the illegal or incompatible behaviour of the guest, who shall in such circumstances not be entitled to any refund.
6. Refunds: Whilst the Company endeavours to ensure that all anticipated accommodation is available as planned, there shall be no claim of any nature whatsoever against the Company for a refund, if any accommodation or excursion is unavailable and a reasonable alternative is not found.
If the guest is unable to use any service provided in the itinerary, then there are no refunds due.
7. AirlineClause: The passengers’ tickets in use by the airline (Charter company) or by other carriers concerned when issued, shall constitute the sole contract between the airlines (Charter company) and the passengers. Please note that we subcontract the flying services to independent charter operations, and they are responsible for the flying. You will be held to their terms and conditions for flying and cancellations.
8. Prices: We do our utmost to keep to the prices published. Should increases be forced on us by airlines, exchange rates, new government taxes etc........we reserve the right to surcharge without notice.
9. Delays: We cannot be held liable for any delays or additional costs incurred as a result of airlines not running to schedule.
10. This agreement is made subject to and shall be governed by and construed according to the laws of the country in which the safari takes place. The agent/company making travel arrangements and the reservations office of the Company acts merely as an agent for the operating companies.
11. Consent: The payment of the deposit OR any other partial payment for a reservation on a safari constitutes consent by all guests covered by that payment to all provisions of the conditions and general information contained in this document whether the guest has signed the booking form or not. The terms under which the guest agrees to these safaris cannot be changed or amended except in writing signed by an authorized director of the Company.
12. Age Limits in Camps and Lodges: Minimum age limit in camps and lodges apply. If age is misrepresented, the Company reserves the right to terminate the safari without compensation.
13. Payment: All bank charges for bank transfers are for the customers’ account.
14. Khaki and Dust Safaris reserves the right to change the itinerary of the tour should certain campsites, lodges or National Parks become unavailable for whatever reason. The booking will be substituted with another option of similar value.
15. VISA requirements –it will be the clients' own responsibility to apply to VISA rules and regulations for all countries travelling to. Please check with your embassy what VISA you would need to obtain.
16. It is the clients' responsibility to assure they have travel insurance and medical insurance that will cover them adequately (see above)
